MAIN PURPOSE:-
The Client Treatment Project Manager is responsible for managing all travel, entertainment, and gifting requirements for our VIP clients. He/She will be responsible for designing and executing bespoke programs and experiences during regional and international events. In addition, he/she will work in close collaboration with multiple internal departments and external parties to ensure the delivery of outstanding experiences for our clients.
KEY RESPONSIBILITIES:-
PLANNING & AGENCY COORDINATION
Plan attendance to events in collaboration with market internal teams
Work closely with internal teams and external concierge agency to develop and execute detailed programs and tailored experiences for each client
Manage ongoing and last minute/onsite booking and changes and align all parties
Provide onsite logistics and ad-hoc support during event time
OPERATIONS & LOGISTICS:-
Manage all arrangements for our clients and related staff during events, including but not limited to:
Visa documents, flights, arrival, and departure transfers
Hotel accommodation
Restaurant bookings
Invitations dispatch and calligraphy
Welcome package and gifts
Gala evenings attendance
Any other ad hoc task as required
BUDGET
Plan and monitor accurately the budget per client/event and promptly identify any over/under budgeting
Liaise with Finance Department for supplier’s payments
Follow up on post event rebelling and costs reconciliation
OTHER
Assist the Regional Client Team and Project Team with presentations and any other ad hoc requests as needed
Monitor and summarize progress of project
JOB PROFILE (for recruitment purpose only)
Required Experience
3-5 years relevant experience in Project or Event Management, Press/Celebrities/VIP Management or other roles dealing with high level profiles
Experience in planning and implementing logistics and treatment for luxury audiences
Technical Skills / Abilities:-
Time management and strong organizational skills
Sold working knowledge of Microsoft Office and Excel
Good financial acumen, strong budget management
Fluent in English, Arabic is a plus
Personal Skills:-
Ability to work independently, as well as in a team
Hands on and solution oriented
Meticulous attention to detail
Ability to multitask and work under high-pressure
