As FnB & Culinary Coordinator you will join a committed FnB Team driven with the intent of delivering ‘FIVE-star’ financial services in the heart of vibrant Dubai and glamorous Zurich.

As our ideal candidate, you have exceptional talent and enthusiasm that is above par along with proven experience in a highly active environment. Your organizational, communication, and leadership skills are second to none and you enjoy developing solutions that push groundbreaking boundaries.
You’ll work closely with your Manager to develop constantly evolving performance and service goals.

 

Key Responsibilities

  • Provide general administrative and clerical support in the FnB Department
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • To manage all commercial and technical documents for the project/s
  • Maintain executive’s agenda and assist the Executive Assistant FnB Manager in planning appointments, meetings, conferences etc.
  • Handle confidential documents ensuring they remain secure
  • Draft letters, purchase orders, work orders, request for proposals and other related task in this matter.
  • Perform all clerical works which include filing, typing, photocopying, email correspondence and other works being assigned from time to time.
  • Maintain and update the database and also manual filings.
  • Receive and check all incoming correspondence and transmittal of drawing documents and other related documents.
  • Manage other staff or visitors, on phone or in person, if required.
  • Review each document for conformity and accuracy
  • Keep all project documents orderly complete and categorized for easy accessibility to specific records and projects
  • Ensures delivery and receipt of all documents by deadlines
  • Makes sure that controlled copies of latest approved documents are given to the appropriate staffs
  • Maintain an updated record of all approved documents and their distribution clearly
  • Log incoming and outgoing documents and emails
  • Maintain the documents in the Document Control office under safe custody without any damage and easy accessibility
  • Generate various document control reports as required
  • Any other work required by the company under your profession

Requirements

What We’re Looking For
  • Strong administrative and personal assistant skills with an ability to work well in a fast-paced environment, an effective planner with proven time management skills is necessary; attention to detail, personal commitment, efficiency, flexibility with great team liaison skills
  • Good written and oral communication skills in English.
  • Highly organized, pro-active and can work with minimal supervision
  • The ability to work at his/her own initiative and around tight deadlines
  • Flexibility and adaptability to juggle between a range of tasks and work extra hours to meet deadlines
  • An understanding of confidentiality issues and the use of discretion
  • Proficiency in the use of MS Office and other database softwar
