Full Job Description :- 

Administrative Officer responsibilities :- 

An Administrative Officer’s role is to support the organisation by ensuring that all financial records and reporting are up to standard, updated and maintained regularly. In some cases, they are responsible for working with third parties, like banks or auditors, to keep business finances on track.

Administrative Officer duties include:

Coordinating schedules, arranging meetings, distributing memos and reports and ensuring that everyone is kept current of necessary company news and information.

Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.

Submit office expense report.

Greeting and directing visitors, answering phone inquiries and maintaining records in a professional manner.

Receive and distribute documents based on the Document Distribution Matrix to the right department and right person (action parties) as per agreed procedure after higher Manager’s review.

Distribute incoming and outgoing documents & mail and keep records, reports and registers up to date in a professional manner.

Maintain records of engineering documents and drawings in hard copies and electronic files and monitor the revisions and approval status thereof.

Keep employee records (physical and digital).

Prepare regular reports and presentations.

Organize, store and print company documents as needed.

Handle queries from managers and make travel arrangements.

Ensuring the confidentiality and security of files and filing systems.

Update office policies and ensure compliance with them.

Administrative Officer skills, qualifications, and experience

To become an administrator, professionals should have a degree-level education in a related subject and a B.Sc/BA in office administration or relevant field.

Administrative Officer skills and experience can include:

3-5 years proven experience as an Administrator.

Excellent knowledge of MS Office and office management software (ERP etc.).

Strong knowledge of office policies and procedures.

Exceptional verbal and written communication skills.

Soft skills needed for the role are as follows:

Excellent organizational and time-management skills.

Strong written and oral communication skills.

Problem-solving attitude with an eye for detail.

Good time management.

Analytical thinking.

Relationship building skills.

Language:

Fluent English (Required)
