Full Job Description :- 

We are looking for an Experienced Receptionist for our Business Center!

  • RESPONSIBILITIES:

· Work with direct subordination to the manager, assistance in compiling weekly, monthly, quarterly and annual reports

· Interaction with tenants: – Registration and booking of conference rooms, auditoriums, and control of their functions

· Monitoring the level of tenant overall satisfaction of our services and working to increase the satisfaction level

· Meeting of guests and presentation of the business center to potential tenants, to attract new customers

· Receiving and processing incoming calls and correspondence

· Participation in Sales of additional services of Business center

· Handling all cashier duties as assigned

· Making a list of necessary equipment, office supplies, order of all necessary goods for the function of the business center, control the budget and finding suitable suppliers

· Document Control: -Collection and monitoring of KYC documents, filing, recording and referencing of tenant’s documents / information on the in-house filing system and or CRM

· Filling out contract renewal agreements, parking licenses, changes, etc. following the commercial terms

· Populate Contract / License Agreements, Renewals, Parking Licenses, Variations, etc. in line with commercial terms/negotiations, discussions and directives; ensuring concise and accurate calculations of the contract payment terms and schedules, so that amounts and dates for payment to be received are in line with all tenant documentation.

· Filling out payment schedules and penalties for early cancellation of bookings

· Compile and present monthly leasing activity reports, including but not limited to: – reservations list and expiring offers, occupancy rates, key handovers, market reports, etc.

· Preparation, updating, and dissemination of protocols

Requirements:

  • Work experience in a similar position for at least 3 years
  • Higher education (Bachelor or higher)

· Proficiency in English at the native speaker level (from C2), knowledge of other languages (especially Russian) is an asset

· Knowledge of Microsoft office

  • Ability to learn quickly

· Customer orientation, attention, positive attitude and love for work with people
