Job Description :- 

An exciting opportunity has arisen for an Admissions Coordinator to join one of the fastest-growing International British Online Schools.

My Online Schooling provides an individualized, full-time British education, delivering the English National Curriculum to a growing pupil cohort of over 1300 pupils, from over 90 countries worldwide.

The Admissions Coordinator role involves overseeing all stages of the admissions process – taking care of our prospective families journey from enquiry through to enrolment.

As part of the role, you will be responsible for:

Acting as the first point of contact for inquiries from prospective families or guardians, by email, video calls, or telephone. Providing in-depth information about the school and answering individualised questions relating to their child and regularly engaging with follow up support for families or guardians in the run up to the childs start date. Following up calls with emails summarising the calls and answering any further emails from prospective families or gaurdians.
Proactively reach out to prospective families via phone call or email
Upholding the School’s admissions policies consistently and fairly across all applications
Process enrolment applications and send out invoices for tuition fees
Reviewing pupils previous educational background, advising on year group placement and subject selection.
Managing and updating pupils’ records on iSAMS (School Management Information System) throughout the application process.
Receiving and checking application forms, ensuring the all data is accurate and completed, and following up on any incomplete applications.
Schedule and organise online school open events and taster lessons. Monitor the pupil attendance at the event and engage with families with any follow up communications after these events.
Regularly monitor subject adds, drops and leavers.
Carry out internal audits of class numbers and school capacity and availability.
Developing efficient and customer-focused admissions procedures on Hubspot and variety of other platforms.
Monitor FAQ activity and organise content updates throughout the academic year.
Prepare real time data detailing application numbers and identifying any common trends.
Communicating through CRM (HubSpot). Support other teams with Hubspot tasks, for example creating forms, reports or workflows
Supporting Admissions manager with ad hoc project work
Updating forms and website content.
Collaborating with Admissions team and wider teams on projects and enhancement of the processes
Any other tasks as reasonably required by the company and/or line manager


A friendly and approachable person, with experience of customer service, in particular, extensive experience of confidently speaking to clients on the phone.
An excellent communicator with the ability to engage with different demographics.
Strategic and logical in approach to tasks.
Skilled in cross site collaborative working. We have bases in the UK and Australia.
The ability to work independently, occasionally, and manage their daily and weekly work load effectively.
Experience of office/general administration with a good understanding of Google applications, Google Suite and Microsoft packages
Good organisational skills, attention to detail and time management
Minimum of 2-3 years’ administrative experience
Experience in a customer facing role and experience of handling difficult or pressurised situations.
High level of written and verbal communication skills. Good numerical skills and understanding of basic finance functions.
Experience using Hubspot or similar CRM platforms.
Understanding of the English National Curriculum.
Experience working in an international environment.
Confident in decision making


Experience of a similar admissions role within the education sector
Using CRM platform Hubspot
Using school administration platform iSAMs
Knowledge of Xero
Knowledge of Flywire
Knowledge of Shopify
Experience in raising invoices and setting up direct debits
Updating CMS, ie WordPress
Experience in Timetabling
