Job Tittle:  Executive Secretary

 

Full Job Description :- 

– 5-8 years’ experience in Executive Secretary role.

– Excellent written & verbal communication in English Language.

– Strong analytical skills / High attention to details.

– Smart, assertive, and organized.

– Can work under pressure

– Must be a team player

– Keeping records of client

– Assisting agents regarding document issuance

– Client support over the phone

– Able to draft letters and correspondence and filing of documents

– Excellent knowledge of MS Office

– Coordinate office activities and operations to secure efficiency and compliance with company policies

– Manage phone calls and correspondence (e-mail, letters, packages etc.)

– Create and update records and databases with personnel, financial and other data

– Track stocks of office supplies and place orders when necessary

– Submit timely reports and prepare presentations/proposals as assigned

– Handle all travel requirements of current and incoming company and staff as required.

– Manage VISA requirements and executes entire onboarding process start to finish for new employees including document preparation, DMCC application/submission, GDRFA, Emirates ID, medical fitness testing and passport stamping.

– Handle employees Medical Insurances including new applications, follow ups, and renewals.

– Assist MD, Operations Manager and all day to day administrative tasks as and when required.

– Greet visitors to the office, and assist with meeting necessities.

– Knowledge on JAFZA procedures and guidelines is a must.
