Job Tittle:  Receptionist

 

Job Description :- 

SUMMARY

The Receptionist is the first point of contact for office visitors, clients, providers, and suppliers. The duty includes offering administrative support across the company including handling front office.

JOB RESPONSIBILITIES

  • Adhere to all safety and compliance rules of the company
  • Attend guests and direct them based on the nature of their visit.
  • Attend incoming phone calls and direct them to the concerned person
  • Assist in company events, forums, special initiatives, and SEED campus activities.
  • Establish and maintain business relations with hotels, catering companies and other service providers
  • Manage suppliers for office supply, hotels, travel agent, stationary, etc.
  • Coordinate with purchasing to ensure delivery of material and make sure internal processes are met.
  • Handle travel arrangement through authorized travel agencies (flight, hotel, travel insurance etc)
  • Handle company’s official email address ([email protected])
  • Handle invoice for different suppliers and follow up payments process with accounting dept.
  • Manage office supply and stationery and order monthly.
  • Support HR in filing, letters, and onboarding ands off-boarding.
  • Manage office maintenance and inspection as required.
  • And any other task assigned related to the job responsibility.

 

Requirements to apply

A. Education/Experience:

  • High School diploma or higher
  • 3-5 years of experience in similar role


B. Professional Titles/Certifications:

  • Secretary Certificate preferred

C. Knowledge/skills:

  • Excellent communication (oral and written) skills
  • Customer-focus
  • Good self-organization and Time Management
  • Negotiation skills

D. Computer Skills:

  • Computer literacy, intermediate skills in Microsoft Office (Word, Excel)
